Office Manager - Job Description

The Office Manager is responsible for managing the day-to-day office needs and administrative support of church staff. This includes leadership and coordination of the volunteer office support team, document creation and distribution, handling of incoming and outgoing mail, and overall management of the operation of the church office. This full-time position supports all church staff but reports directly to the Executive Pastor.
Essential Job Functions
Create documents for church staff as needed, including letters, informational flyers, postcards and other documents as directed.
Lead the Office Support team in the creation, preparation and distribution of requested administrative tasks.
Function as the central point of contact for all significant congregational life events (births, deaths, illnesses, etc.) and communicate such events to all church staff in a timely manner.
Purchase and send situation specific greeting cards as directed upon notification of significant congregational life events.
Function as “go to” person for all matters pertaining to the smooth operation of the church office (reordering of office supplies, copier machine use and repair, coordination of office resource scheduling, ensuring the office is clean and orderly, etc.).
May perform data entry into financial systems ie Quick books.
Answer incoming calls on the office operator line and direct calls as necessary.
Manage and respond to operator voicemails as needed to ensure callers receive a timely response and/or issues are addressed in a timely manner.
Distribute regular mail daily.
Record deposit receipts weekly from contributions (Monday.)
Provide giving statements to contributors as needed.
Create weekly income summary for Lead Pastor, Executive Pastor, and Leadership.
Using accounting software and finance team members, maintain a general ledger of expenses and revenue, balance sheet and other needed accounting data-points.
Create and maintain Chart of Accounts.
Complete month-end and year-end close procedures.
Provide individual business expense reports to all staff with a Business Expense Allowance. Review to ensure submitted expenses are appropriate and resolve questions that may arise.
Provide department and church budget reports to department leads and work with leaders to re-classify expenses as needed.
Create and run donor reports in order to identify trends in giving patterns and other contributor research as requested by church leadership.
Manage payroll for church staff ensuring funds are transferred and payroll data is entered each pay period.
Prepare monthly, quarterly, and yearly payroll tax forms and make necessary deposits, and prepare W-2's at year-end
Reconcile online giving transactions between platforms.
Manage credit card transaction reconciliation, verifying receipts have been submitted for all transactions, review to ensure submitted receipts are appropriate, resolve questions that may arise or reclassify when needed.
Perform other duties as assigned by the Executive Pastor.
Education and Experience
This position requires a minimum of 1 to 3 years experience as an office administrator in a church or business environment. Possession of an AA/BA Degree in Business or related field is a plus. The successful individual will also possess a working knowledge of Quickbooks (or other similar software applications) Microsoft Office (including Excel), church database, and other related applications.
